Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another press for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in the Microsoft Word, RTF, or OpenDocument file format.
  • Where available, URLs for the references have been provided.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in About the Press.

Author Guidelines

The University of Lodz Publishing House applies the highest publishing standards and is guided in its mission by ethical principles. If any scientific dishonesty is identified, it documents all its manifestations and informs the competent entities.
When submitting a work for publication in the University of Lodz Publishing House, the author is obliged to guarantee the full originality of their work and to avoid such phenomena as:

  • plagiarism, which is the appropriation of another person's work in whole or in part,
  • self-plagiarism (duplicating a publication), i.e. publishing one's own work in whole or in part in more than one publication.


It should be emphasised that any author submitting their work for publication in the University of Lodz Publishing House should precisely specify the contribution of particular persons to the work, including their affiliation, information on the authorship of the concept, methodological assumptions, analysis of the results, etc.
The author is required to provide information on the sources of funding for the publication, contributions from scientific and research institutions, associations and other entities.
By following the procedure described above, the following irregularities can be avoided:

  • ghost authorship, i.e. the omission of contributors from the list of authors,
  • guest or courtesy authorship, which is the attribution of authorship to persons who do not contribute to the submitted work.
  • Other phenomena that violate publishing ethics include fabrication of data, i.e. basing a scientific work on false research results.

If any of the listed forms of non-compliance with the principles of publishing ethics is suspected, the University of Lodz Publishing House takes the following actions:

  • asks the author to clarify the situation and decide whether the suspicions are justified and require a revision of the work or its rejection. The decision to reject a work should be preceded by an analysis of the work as a whole, the aim of which will be to identify passages that are unoriginal, duplicated or taken from another work and to indicate their source. In justified cases, the University of Lodz Publishing House carries out such an analysis using a selected anti-plagiarism system,
  • provides information about the identification of a documented breach of ethical principles to the supervisor of the basic unit in which the author who is an employee of the University of Lodz s employed. In the case of authors who are not employees of the University of Lodz, the University of Lodz Publishing House terminates its cooperation by not accepting the work for publication.


In this way, we guarantee our readers that our publications are produced transparently, honestly and with respect for the work's authorship.


In accordance with Regulation No. 100 of the Rector of the University of Lodz of 10 May 2018 and the earlier one of 23 July 2015, the University of Lodz Publishing House prepares the publication of works by employees of the University of Lodz, to which it has the right of priority of publication, as well as other works of a scientific, didactic or popularising nature, not covered by this right. All works published by the University of Lodz Publishing House, after submission to the publishing plan, completion of the author's material and initial verification by the initiating editor, are subject to a scientific review, whose aim is to evaluate the material, indicate its shortcomings, formulate remarks for the author and make a clear suggestion to the UL Publishing House as to whether the work should be published. Next, the team of the University of Lodz Publishing House (publishing office), guided by their best knowledge and available resources, decide on the manner and date of publication, the print run and possible methods for disseminating the content of the publication, in particular on its inclusion in appropriate databases of scientific resources (open or temporarily closed) or indexing databases. The submission of the author's material, prepared in accordance with the principles adopted at the University of Lodz Publishing House (link), to the Publishing Production Department completes the stage of qualifying the work for publication and begins the production phase.

 

Choice of a reviewer, declaration of no conflict of interests
The University of Lodz Publishing House directs the work submitted by the author for review to specialists in a given scientific discipline who are not employed by the University of Lodz and who hold at least a post-doctoral degree. When choosing a reviewer, the Publishing House may use a list of potential reviewers (not less than four) indicated by the author of the publication in the application for publication. Before proceeding with the evaluation of the author's material, the reviewer shall submit a declaration of no conflict of interests concerning in particular the following:

  • direct personal relationship with the author (kinship, legal relationship, conflict),
  • relationship of professional subordination with the author,
  • direct scientific collaboration with the author.

 

Method of drafting the review

  1. The review must be prepared in writing and end with a clear conclusion as to whether the paper should be accepted for publication or rejected.
  2. The reviewer prepares an opinion on the review sheet adopted by the University of Lodz  Publishing House (link).
  3. In the review, emphasis is placed on the quality of content, originality of the theses and validity of the research undertaken, methodology, correctness of formulated conclusions and the manner of their presentation.
  4. The review should be fair, objective, honest, constructive, consistent with the reviewer’s knowledge and prepared in a timely manner.
  5. The reviewer is obliged to disclose possible plagiarism, suspected plagiarism or unnecessary (duplicated) publication, as well as misquotation (manipulation of data).
  6. The reviewer is obliged not to use their knowledge of the reviewed work prior to its publication.<

 

Conditional acceptance of a work for publication
The author receives the review for reference, responds to it in writing and prepares a revised version of the work. The statutory time needed for the work to be accepted for publication by the University of Lodz Publishing House is extended by the time needed for the revised version to be prepared and reviewed again.
All contacts between the author and the reviewer until the work is published take place exclusively through the University of Lodz Publishing House.

 

Refusal to accept a work for publication
The University of Lodz Publishing House has the right not to accept and refuse to publish a work that has received a negative review. The author has the right to appeal against the decision not to accept the work for publication. The decision, based on the justification submitted by the author, is taken by the Vice-Rector for Science of the University of Lodz, who may, in justified cases, consult the Publishing Board.

Privacy Statement

This Privacy Policy contains information addressed to the Users of the Open Monograph Press of the University of Lodz, including, inter alia iod@uni.lodz.pl:

  1. employees of the University of Lodz (UL),
    candidates for work at the University of Lodz,
  2. former employees of the University of Lodz (retirees and pensioners),
  3. candidates for studies/doctoral schools/other forms of education at the University of Lodz,
  4. students, doctoral students and participants of non-degree postgraduate studies at the University of Lodz,
  5. University of Lodz graduates,
  6. participants of events organised by the University of Lodz,
  7. readers of the University of Lodz libraries,
  8. contractors of the University of Lodz.

University of Lodz cares about the protection of your personal data and applies appropriate organisational and technical solutions to prevent interference with your privacy by third parties. Our activities are aimed at guaranteeing you a sense of security at a level appropriate to applicable law, including in particular those specified in:

  1. regulation (EU) 2016/679 (General Data Protection Regulation) of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), hereinafter "GDPR",
  2. the Act of 10 May 2018 on the protection of personal data,
  3. the Act of 18 July 2002 on the provision of electronic services,
  4. the Act of 16 July 2004 Telecommunications Law.

Personal data on the Open Monograph Press website may be collected through the following activities:

  1. information provided in forms posted in the Open Monograph Press,
  2. information collected automatically when using the Open Monograph Press, i.e.:
    • information saved automatically in the logs of servers and the Open Monograph Press, e.g. IP address, page request sent by the User, date and time of the request, browser type, browser language, device data, operating system type,
    • "cookies" – small text files sent by the Open Monograph Press to the device of the User who is visiting the Open Monograph Press (e.g., a computer, smartphone).

When using the Open Monograph Press, part of the data about the User may be collected and processed by the tools of external entities used by the University of Lodz. For example, these are: forms, plugins, buttons or other tools that allow you to share content on social networks, such as, among others: Facebook, Twitter, Flickr, Instagram, Google Maps, Google Analytics, YouTube.

University of Lodz:

  • is not responsible for the privacy policy of external entities, including websites to which it posts links. The User should read the rules applicable to these entities;
  • makes every effort to protect the Open Monograph Press and the data processed in it, among others, against unauthorized access by third parties. For this purpose, the University of Lodz uses physical security measures, security systems securing access to servers and the website, and cryptographic solutions. Personal data is made available only to those employees and entities who need it to perform their tasks and they are processed only for the purposes described in this Privacy Policy.

By using the Open Monograph Press, the User accepts the Privacy Policy.

 

Data administrator and data protection officer
The administrator of your personal data is the University of Lodz with its seat in Lodz, the address ul. Narutowicza 68, 90-136 Lodz.
University of Lodz is the Administrator of data processed in connection with the use of the Open Monograph Press, with the exception of data collected by external entities to the services of which the University of Lodz refers the Users via links posted on the Open Monograph Press.

Legal basis for personal data processing
Your personal data may be processed by the Administrator pursuant to:

  1. Art. 6 (1)(e) of the GDPR in connection with Art. 2 and Art. 11 of the Act of 20 July 2018 Law on Higher Education and Science (as it is necessary to perform a task carried out in the public interest or as part of exercising public authority entrusted to the administrator in connection with the mission of the higher education and science system in the field of education, scientific activity, shaping civic attitudes, as well as participation in social development and the creation of economy based on innovation),
  2. Art. 6(1)(b) GDPR (because it is necessary for the performance of a contract to which the data subject is a party or to take action at the request of the data subject prior to entering into the contract),
  3. Art. 6 (1)(c) GDPR (in connection with the requirements of the law and acts of internal law in force at the University of Lodz),
  4. Art. 6 (1)(f) GDPR (processing is necessary for the purposes of the legitimate interests pursued by the Administrator or by a third party),
  5. Art. 6 (1)(a) GDPR (based on your consent to the processing of personal data).

 

Purposes of personal data processing
Your personal data may be processed in particular for the purpose of:

  1. sending via e-mail, to the e-mail address provided by you, information and marketing messages, including information on current educational offers of the University of Lodz, information about conferences and other events organised by the University, and available research and development programmes,
  2. execution of applications/entries made via the forms available in the Open Monograph Press,
  3. administration of servers and the Open Monograph Press,
  4. ensuring security and protection of data and the Open Monograph Press,
  5. providing the User with specific services,
  6. facilitating and adapting the Open Monograph Press to the needs of its Users,
  7. statistical purposes,
  8. remembering individual settings and preferences,
  9. ensuring proper operation of the Open Monograph Press websites in the User's browser.

 

Personal data recipients
Recipients of your personal data may be entities that are entitled to receive them under the law. Your personal data may also be transferred to entities processing it on our behalf on the basis of contracts concluded with the Data Administrator, but only for the purpose and scope necessary for the implementation of the above-mentioned purposes, including entities providing IT services or other services ensuring proper functioning of the Open Monograph Press, where such entities process data only in accordance with the instructions of the Data Administrator.

 

Time of personal data storage
We process your personal data only for the time necessary to fulfill the purpose of their storage or as as we are legally required to do so, in particular until the statute of limitations for any claims or the expiration of any archiving obligations under the law, including the obligation to retain accounting documents.
In the event of processing personal data for the purpose of providing the newsletter service, your personal data will be processed for the time necessary to provide this service or until you resign from it.
In the case of processing personal data on the basis of your consent, your personal data will be stored until it is withdrawn. It is possible to withdraw consents expressed in the Open Monograph Press at any time. Revocation of consent to processing will not affect the lawfulness of the processing carried out before its withdrawal.
In the case of processing your data on the basis of a legitimate interest of the administrator, the data Administrator will stop processing the data earlier if you object to the processing.

Rights under the GDPR in the field of personal data processing
Due to the processing of personal data by the Administrator, the User has the right to:

  1. request access to their personal data,
  2. rectify their personal data,
  3. deletion or restriction of personal data processing – in cases provided for by law,
  4. object to the data processing,
  5. portability of data,
  6. withdraw consent to the processing of personal data for a specific purpose, if the User has given such consent, provided that this does not affect the lawfulness of data processing carried out before such a withdrawal,
  7. lodge a complaint to the President of the Personal Data Protection Office, if they deem that the processing of their personal data violates the provisions of the GDPR.

The above rights may be exercised by the User in accordance with the principles described in Art. 15-21 of the GDPR, by contacting the Data Administrator via the Data Protection Officer at the following address: iod@uni.lodz.pl Personal data collected through the forms, for which the User has consented, are processed for the purpose and time necessary for the proper handling of the task. Details are specified in the relevant information clauses provided under specific forms.

 

Cookies
Information about cookies:

  1. Open Monograph Press uses cookies.
  2. Cookie files (so-called "cookies") are IT data, in particular text files, which are stored on the end device of the Open Monograph Press User and are intended for the use of the Open Monograph Press websites. Cookies usually contain the name of the website they come from, the storage time on the end device and a unique number.
  3. The entity that places cookies on the end device of the Open Monograph Press User and obtains access to them is the Open Monograph Press operator.
  4. Cookies are used for the following purposes:
    • ensuring proper operation of the Open Monograph Press websites in the User's browser;
    • creating statistics that help to understand how the Open Monograph Press Users use websites, which allows for the improvement of their structure and content;
    • maintaining the Open Monograph Press User's session (after logging in), thanks to which the User does not have to re-enter the login and password on each subpage of the Open Monograph Press;
    • determining the User's profile in order to display customized materials in advertising networks, in particular the Google network.
  5. Open Monograph Press uses two basic types of cookies: session cookies and persistent cookies. Session cookies are temporary files that are stored on the User's end device until logging out, leaving the website or turning off the software (web browser). Persistent cookies are stored on the User's end device for the time specified in the cookie file parameters or until they are deleted by the User.
  6. Software for browsing websites (web browser) usually allows cookies to be stored on the User's end device by default. The Open Monograph Press Users can change the settings in this regard. The web browser allows you to delete cookies. It is also possible to automatically block cookies. Detailed information on this subject can be found in the help or documentation of the web browser.
  7. Restrictions on the use of cookies may affect some of the functionalities available on the Open Monograph Press websites.
  8. Cookies placed on the end device of the Open Monograph Press user may also be used by advertisers and partners cooperating with the Open Monograph Press operator.   9. Cookies may be used by advertising networks, in particular the Google network, to display advertisements tailored to the manner in which the User uses the Open Monograph Press. For this purpose, they may keep information about the User's navigation path or the time of staying on a given website.

If the User does not want to receive cookies, they may change the browser settings. We reserve that disabling cookies necessary for authentication processes, security, maintaining the User’s preferences may make it difficult, and in extreme cases, may prevent the use of the Open Monograph Press websites.
